Social media, whether you love it or not it’s one of those necessary tools for most businesses these days!
Often it’s one of the first things entrepreneurs and business owners quickly fall behind with, abandon or were not quite sure how to begin in the first place. Mostly because it takes up SO MUCH TIME and can cause a lot of overwhelm and self doubt.

Having a Virtual Assistant manage your social media can be a great solution, and you may wonder why you didn’t do it sooner!

How to work with a Virtual Assistant social media manager

Create a social media plan for your virtual assistant

  • Do you have an existing social media strategy? This is super helpful if you already have a plan for your VA to follow. It will make the transition and management of your social media that much smoother!
  • What if I don’t have a social media strategy? That’s ok!
    If you need help to create a social media plan, it may be one of the first tasks you have your VA do for your social media. Before a virtual assistant can properly manage your social media they need to know at least a few key things; such as your social media goals, who is your audience? and the main ‘messages’ you are wanting to share or promote via your posts. Which platforms do you use? Facebook, Instagram, Linkedin, Twitter, Pinterest, TikTok?
    Your VA will want to know if you already use a scheduling app / online tool to post. If you don’t already, they may recommend one that suits your needs and the social platforms you post to. If you have a list of saved hashtags you frequently use, make sure you give this to your VA. Otherwise, hashtag research may be a one off task you can ask them to do for you.
    You will also need to decide how frequently (daily, a few times a week or just once a week?) you want your VA to post to your social media accounts. If you already monitor your social media metrics, your virtual assistant can also schedule your posts according to which days / times are best for follower engagement.

  • Do you want your virtual assistant to completely take over the entire social media process? Amazing!
    The above mentioned plan/strategy will be super important and helpful!
  • Do you need or want a VA to only do some of the components of social media management? That’s also fine!
    If you want to do part of the process yourself, whether that’s writing the captions or creating the images or post design, Great! You can ask your virtual assistant to only manage the parts you don’t have time for or don’t want to do. Some scheduling apps are great for creating draft or ‘placeholder’ posts which can be worked on collaboratively. Alternatively a project management tool like Trello or Asana, or even just a google sheet / spreadsheet can help to manage this between you.
Social Media Brand Style & Templates
  • Do you have an existing brand style or a style guide?
    If you have a defined brand style for your social media, make sure to provide your VA with a style guide that lists the standard colours and fonts you use in your business. Is there a particular ‘mood’ you want to portray in your social media feed, make sure to explain this or give image examples to your virtual assistant to work from.
  • If you need a social media brand identity and style guide, this may be something a creative VA can help you with. Not all virtual assistants may have this skillset, but there are some of us out there who have creative design experience and can put a basic brand identity and style guide together for you. This can also include a suite of social media templates to use which can help keep a consistent look in your social media feed.
